Role Overview

We are hiring an  Automation & Operations Assistant to support weekly operational projects and administrative tasks. The role involves setting up automations, managing workshop registrants, preparing follow-up emails, and assisting with operational systems.

This is a project-based role paid hourly at $6/hour, ideal for someone who understands automation tools and can execute operational tasks independently.

Responsibilities

  • Set up email list in Google Sheet – Use Zapier to automatically pull Calendly signups into a Google Sheet for deduplication and future use. Upload registrant list to Mailchimp for emails to parents.
  • Add all workshop registrants to Mailchimp contact list with two tags (“Parents” and “Parents workshop [date].”) Both workshops on a given Wednesday will be combined in Mailchimp with the same tags above. Examples already exist in Mailchimp.
  • Prepare workshop recordings for sharing in Mailchimp follow-up emails (share YouTube video of most attended of Wednesday’s two workshops). Add slides as well. Can replicate existing workshop follow-up emails and simply update recording link and slides.
  • Identify and mark no-shows in Calendly so we can create different follow-up funnels for attendees vs no-shows. More important, this seems to be the only way to get the data back to Meta so it can do a better job of identifying audiences more likely to attend. (Currently, show-up rates are between 15 and 30% — too low). Unclear whether this needs to be a manual process from Zoom to Calendly or via Zapier automation.
  • Take the lead on follow-up emails with prospects using the Claude “biz dev” project to craft the follow-up and service offer/enrollment emails. Can use the Fireflies transcript of the consultation call to assist. The Claude project has many prior examples, so the process is efficient.
  • Build Stripe installment automation (if possible) – Automate setting subscriptions to $0 after the final payment is collected. Do not end subscription, just stop payments and notifications.
  • Update privacy policy – Add language about sharing customer data (hashed) with Facebook.
  • Automate monthly reporting to bookkeeper.
  • Cancel software trials/subscriptions not being used. Current list of SaaS companies that may need to be reviewed:
    • Fivetran
    • Customer.io
    • HubSpot
    • ActiveCampaign
    • Metricool
    • PipeDrive
  • Provide suggestions for an affordable CRM platform.

  • Ability to work independently and troubleshoot technical issues
  • Fast and reliable
